Buildfest is organised by Vedspace Ventures, so this is the one project where we were both the client and the team. The brief we set ourselves was the same one we would give anyone: make it effortless for a student to understand the tracks, register, form a team, submit work and get judged fairly — and make it easy for our own organisers to run the event without a developer on call. The public hub and the event platform were built in six weeks ahead of the edition.
A hackathon platform is used intensely for a short window by people who have never seen it before. Registration spikes. Teams form and change at the last minute. Submissions arrive in the final hour, and judging has to be fair, fast and auditable. Meanwhile the public hub has to explain the programme to students, faculty and collaborators without becoming a wall of text.
We split it in two. The public hub is a structured knowledge base — tracks, timeline, eligibility, FAQs and resources — that the organising team edits directly. The event platform is a separate system built for the burst: registration and team formation with clear rules, a submission flow designed for the last-hour rush, and a judging workflow with rubrics, blind scoring and an audit trail. Both were load-tested against the numbers we expected on the day.
Buildfest runs on the platform we built for it: students register, team up and submit; judges score against shared rubrics; organisers see everything live. Participation and outcomes for each edition are published on the Buildfest page once verified.
