Time, engagements and getting paid

The chain from work performed to invoice settled is where most firms lose margin. Time capture that requires reconstructing a week on a Friday produces inaccurate data and understated bills, so capture has to fit the working day rather than fight it. We model engagements with their real commercial structure — retainers, fixed fees, phased work, budget thresholds — and make utilisation and budget consumption visible while a matter is running, not after it has overrun. The aim is that a partner sees a problem in time to have a conversation about it.

Documents, client access and confidentiality

Professional work is document-heavy and the documents are usually confidential. Access control is modelled on real client and matter boundaries, including the conflict and information barriers a firm may be obliged to maintain, and actions that carry consequence leave an audit trail. Where clients are given a portal, it is designed so that sharing a document is faster than attaching it to an email, because otherwise email wins and the system becomes an incomplete record. Retention and deletion are configured to the firm's obligations rather than left to accumulate indefinitely.

Replacing systems without disrupting billable work

Firms cannot pause client work to change systems, so rollout is designed around that. Migration is planned as its own work with data cleaning and validation against known financial totals, and cutover is usually staged by team or practice area so problems appear at small scale. The old process often runs in parallel until the new one has earned trust. Training is written for fee earners rather than administrators, and the measure of success is whether the system reduces the time between doing the work and billing it.
